This guide explains how MileApp counts tasks for your billing.

What is a Task?

A task is any job or work order you create in MileApp for your field team to complete. Examples of tasks:
  • Delivering a package to a customer
  • Picking up items from a location
  • Sales visits to stores or clients
  • Service or maintenance calls
  • Field surveys or inspections
What’s NOT counted as a task:
  • Sample tasks (used for testing or demos)
  • Activity workflows (internal activities)

How We Count Your Tasks

Every time you create a task in MileApp, it counts toward your monthly usage. Simple rule:
Your Task Count = Number of Tasks You Create Each Month

All task statuses count

Once a task is created, it counts - no matter what happens to it later:
  • Created - Counts
  • In Progress - Counts
  • Completed - Counts
  • Failed - Counts
  • Cancelled - Counts
Important: Even if you cancel a task, it still counts toward your usage because the system already processed it when you created it.

When Do Tasks Get Counted?

Tasks are counted immediately when you create them - whether through:
  • The web dashboard
  • Bulk import (Excel upload)
  • The mobile app
  • Automated task creation

What Happens When You Reach Your Limit?

This depends on your plan settings:

Plans that allow extra tasks

If your plan allows going over the limit:
  • You can keep creating tasks
  • Extra tasks are charged at an additional rate per task
  • The extra charges appear on your next bill

Plans without extra tasks

If your plan doesn’t allow extras:
  • You’ll see an error message when you hit the limit
  • You won’t be able to create more tasks until:
    • Your new billing period starts, OR
    • You upgrade your plan

What’s the difference between Tasks and Visits?

Example:
  • You create 100 tasks
  • You add 70 of them to route planning
  • Task count: 100 | Visit count: 70
Both will appear as separate items on your bill.

If I cancel a task, does it still count?

Yes. Once a task is created, it counts toward your usage regardless of its final status. Tip: Double-check your information before creating tasks to avoid wasting your quota.

Do sample tasks count?

No. Sample tasks (used for demos or training) are not counted toward your billing.

What about bulk imports?

Each successfully imported task counts individually. Example:
  • You upload an Excel file with 500 tasks
  • 480 tasks import successfully
  • 20 tasks fail due to errors
  • Tasks counted: 480

Can I save unused tasks for next month?

No. Your task quota resets each billing period. Unused tasks don’t carry over. Example:
  • Your limit: 1,000 tasks/month
  • You used: 700 tasks
  • Remaining: 300 tasks (these expire when your new period starts)

Will I get a warning before I run out?

Yes! You’ll receive an email when you reach 90% of your limit.

I have multiple organizations. How does that work?

Each organization has its own:
  • Subscription plan
  • Task limit
  • Usage count
  • Separate billing
Tasks are counted per organization, not combined.

Understanding Your Bill

Within your limit

If you stay within your monthly task limit, you just pay your regular plan price. Example:
  • Your plan: 1,000 tasks/month for $50
  • You used: 800 tasks
  • Your bill: $50

Over your limit (with extras allowed)

If your plan allows extra tasks and you go over: Example:
  • Your plan: 1,000 tasks/month for $50
  • Extra task rate: $0.50 each
  • You used: 1,200 tasks
  • Extra tasks: 200
  • Extra charges: 200 × 0.50=0.50 = 10
  • Your bill: $60

Over your limit (no extras allowed)

If your plan doesn’t allow extras, you simply can’t create more tasks after hitting the limit. No extra charges, but you’ll need to wait or upgrade.

Real-World Examples

Example 1: Delivery Company (Within Limit)

Your situation:
  • Plan: 1,000 tasks/month
  • Daily deliveries: ~35 tasks
  • Working days: 26 per month
Calculation:
  • 35 × 26 = 910 tasks
  • You’re within your limit
  • Bill: Just your plan price

Example 2: Growing Business (Over Limit)

Your situation:
  • Plan: 1,000 tasks/month (extras allowed at $1 each)
  • Weekly task creation varies

Example 3: Small Team (No Extras)

Your situation:
  • Plan: 500 tasks/month (no extras allowed)
  • You’ve used 480 tasks by week 3
What happens:
  • Tasks 1-500: Created successfully
  • Task 501+: Blocked with error message
  • Bill: Just your plan price
  • You’ll need to wait for next month or upgrade

Tips to Manage Your Tasks

  1. Know your volume - Track how many tasks you typically create per month
  2. Check before importing - Validate your data before bulk uploads
  3. Monitor regularly - Check your usage in Billing > Subscription
  4. Plan ahead - If you’re growing, consider upgrading before hitting limits
  5. Enable extras - If your volume varies, a plan with extra tasks gives flexibility
